Ways to Add Works to ORCID

Prerequisites: You already have an ORCID account. If not, you need to register for one (see how-to video).

In ORCID, you may add works in three ways:

  1. Using Search & Link wizards (some systems allow auto-updates) (recommended)

  2. With a BibTex file (Systems that support BibTeX output, e.g. Google Scholar, EndNote, Zotero)

  3. Manually

(Can I have someone help me import my works? Yes. The assistant needs to have an ORCID iD and be added as a trusted individual by you.)


Add works from a third-party system

If ORCID integration is available, you may set up to send works from a third-party system or have a third-party system to update your ORCID record automatically when you have new publications, see Auto-Update and From a Provider sections of this page.

Search & Link (a preferred way to add works to ORCID)

Steps (Summary):

  1. Sign in to ORCID with your ORCID login
  2. Click on Add Works under the Works section
  3. Click on Search & Link from the dropdown list
  4. Select a link wizard from the list of trusted sources/organizations
  5. Verify imported works (edit or delete as needed)

  1. Sign in to ORCID with your ORCID login
  2. Click Add Works under the Works section and you will see a drop-down list with options

  3. Click on Search & Link (a list of link wizards or trusted sources/organizations will display, see example below)

  4. Select a wizard from the given list and follow the instructions on the screen

    Example: using Europe PubMed Central (This link is good for all PubMed Central.)

    Click on Europe PubMed Central

    Select publications

    Click send to ORCID after selecting publications

    Go back to ORCID to view and edit imported works

    Identify imported works by source

    Note: You should already have an account on the system to be used, and if not you would be prompted to create an account.

  5. Verify imported works: in your ORCID account, make sure that the imported works are correct and edit them as needed; make sure that the visibility settings for all the works to be imported to UofL Folio is set to either trusted parties or everyone.

Adding works with a BibTeX file to ORCID

Prerequisites: You already have a list of works in a file in BibTeX format.

Using the BibTeX import tool, you can import your research works from systems that have not yet built a connection with ORCID. However, it is strongly recommended that you use the works Search and Link wizards, or connections in private systems to import works, rather than relying on BibTeX. Wizards reduce or eliminate data errors, enable reliable links between your ORCID iD and your works, and allow for the addition of contributor information with works.

Steps to import a list of works saved in a BibTeX file

  1. Login to ORCID

  2. Go to the Works Section

  3. Click Add works, select Import BibTeX from the dropdown list, and follow the instructions on the screenImport Works - menu

Getting a BibTeX file

Many systems or reference management tools support BibTeX format for output. Below are some sources picked by this Guide's editor:

  • ATLA (American Theological Library Association)
  • BASE (Bielefeld Academic Search Engine)
  • EndNote
  • Google Scholar Citations  

    Google Scholar Profile is an incredibly common and useful tool for researchers. It allows researchers to track their citations and publicly show their work. If you already have a Google Scholar profile, you may import works into ORCID from Google Scholar in seconds. See Google Scholar's site for more details about Google Scholar Profile.

  • Zotero (With connector browser extensions and advanced PDF management plugin for Zotero, you can click a button toget to stuff into your library in Firefox, Chrome, or Safari to add citations along with PDF of your works into your Zotero library and generate from Zotero a bibliography list in a style and file format you need.)

Adding works manually 

Note: Use this option when none of the other ways is available.

  1. Login to ORCID
  2. Go to Works section
  3. Click on Add Works, select Add Manually, enter the citation information, and save your entry.

Some providers support auto-updates

According to ORCID, some providers such as CrossRef, DataCite, and Publons allow auto-updates if you permit Please see the notes excerpted from ORCID:

Works are your research outputs, including publications, data sets, conference presentations, and more. While it is possible to add works manually, we recommend that you permit trusted organizations to add/update this information to add and update them for you – look for the green iD icon next time you submit a paper, book chapter, or book (learn more about auto-updates). Allowing trusted organizations to add information to your record ensures the data connected with your ORCID iD is authoritative and trustworthy, as well as saving you time entering information manually. The organization which added the work to your record will be listed as the source of the item.

The maximum number of works you can add to your ORCID record is 10,000. This helps avoid performance issues on the ORCID Registry. If you exceed this limit, you will see an error message asking you to remove some works and try again.

Does the organization I’m connecting to support auto-update?

Since ORCID enabled long-lasting permissions in 2014, many organizations have started to use auto-updates to keep your ORCID records updated. Below are four common workflows:

Sending data to ORCID from a provider's profile

More and more publishers or identifier providers have setup ORCID integration. If ORCID's Link Wizard list does not include the publisher, but you have an account with a publisher, check to see if they have ORCID integration. If so, you may add works to ORCID from your publisher's profile.
