Ekstrom Library Policies: Auditorium Policy
NO FOOD OR DRINK IS PERMITTED INSIDE THE AUDITORIUM.
All reservations must be made 10 business days in advance of the event.
The principal function of the Ekstrom Library Auditorium is to provide a location for conducting Library business, such as classes, seminars, and meetings. When not being used for these purposes the auditorium is made available for use by other University related groups or University sponsored groups. Student organized events must be sponsored by a Recognized Student Organization (RSO), have a university faculty advisor or an official University group or unit.
SCHEDULING IN ORDER OF PRIORITY
The auditorium is available to (a) meetings or workshops sponsored by University of Louisville Libraries or Library related organizations, and (b) other groups associated with the University or sponsored by University associated groups. The auditorium is not used for meetings of social organizations or groups not affiliated with the University. Groups requesting use of the auditorium agree to observe Ekstrom library policies.
RESERVATIONS PROCEDURE
The Office of the Dean, University Libraries / Room 203 / 852-6745 is responsible for coordinating arrangements for use of the auditorium. Individuals, groups, RSOs, and departments must reserve the auditorium using: http://resource25.louisville.edu.
All reservations should be made no less than ten days prior to the event.
No group may use the auditorium more than 6 times in one semester and those times cannot include more than 3 consecutive sessions.
Recognized Student Organizations (RSO), in good standing, must have a university faculty advisor or be sponsored by a University unit.
SPECIAL ROOM ARRANGEMENTS
The auditorium seats 94 persons. A podium and several chairs and table can be provided on the platform. The person reserving the auditorium should make arrangements for additional chairs or tables or any other special amenities through Physical Plant. Please notify the Office of the Dean, University Libraries / 852-6745 at the time of making your reservations or at least ten(10) days prior to the event of any special arrangements.
AUDIOVISUAL RESOURCES
All audiovisual resources such as a microphone, projector and etc., should be reserved through Instructional Communications Center (ICC): http://louisville.edu/it/itis/media/belknap-media.html or 852-6465. ICC should be notified as soon as possible of any equipment need for the day of your event.
Not available: Broadcast television programs cannot be received in the Ekstrom Library at present nor are media production facilities available. To arrange for video or audio recording contact ICC. Such arrangements are the responsibility of the person or unit making the reservations. The library is not responsible for audiovisual arrangements. Users must also make their own arrangements for any films and videotapes to be used.
DAY OF EVENT
At least 15 minutes before the meeting, the contact person in charge of the event should report to the Circulation Desk on the first floor lobby so that a Library attendant can unlock the auditorium door. Unless other arrangements have been made in advance, the Library attendant must immediately return to the Circulation Desk. The contact person is expected to remain in the auditorium, responsible for security until the program has ended, the room is locked, and any equipment has been returned.
FOLLOWING THE EVENT
When the session has ended, the contact person or designee should report to the Circulation Desk, unless other arrangements have been made for closing. The Library attendant will help with the return of any Ekstrom Library equipment and will lock the auditorium.
NOTE: The Ekstrom Library Administration reserves the right to deny use of the Library Auditorium to any group failing to observe the policies outlined above.
